Automating IHM inventory management on ships

The Inventory of Hazardous Materials is no longer a one-off deliverable. This article explains how to keep the IHM current, audit-ready and linked to maintenance and procurement.

Why the IHM is now a living document

With the EU Ship Recycling Regulation and the Hong Kong Convention approaching full enforcement, the Inventory of Hazardous Materials is not a new-build form to file away. It must be updated with every refit, every spare part and every material change. A static PDF is a detention waiting to happen.

The practical pain points

  • **Part-level tracking.** A gasket, a cable or a paint batch can change the inventory.
  • **Supplier declarations.** Chasing suppliers for Material Declarations is slow and inconsistent.
  • **Version control.** An auditor will ask for the IHM version that was valid on a specific date.
  • **Link to maintenance.** A job that removes or installs a part should trigger an IHM review.

How automation changes the workflow

A digital IHM linked to the PMS means that every maintenance job can carry a material-impact flag. When the job closes, the system prompts for an IHM update if needed. Supplier declarations are stored against the part record, so the next audit does not start with a file search.

What to do this month

  • Digitise the current IHM by location and system.
  • Link common spare categories to hazardous-material classifications.
  • Add an IHM-review step to any job that disturbs insulation, gaskets, cables, coatings or batteries.
  • Store supplier Material Declarations with the part, not in a shared drive.

The Full Ahead view

Full Ahead treats the IHM as part of the equipment record. A job can flag material impact, attach the declaration, and update the inventory version automatically. The result is an IHM that stays current as the ship changes, not one that is rewritten the day before recycling.
