Four vessels, maintenance tracked in three separate spreadsheets

A coastal operator runs four general cargo ships. Each chief engineer keeps his own running-hours sheet; the superintendent rebuilds a fleet view by hand every month. Overdue critical jobs are found during the rebuild, not before.

Preparing for an ISM external audit from a shared drive

Evidence for the audit lives in email threads, a shared drive and the vessel's own folders. Two weeks before the audit, someone starts collecting it. Findings usually concern missing evidence rather than missing work.

What the product does

  • Statutory register per vessel for ISM, ISPS, SOLAS and MARPOL Annexes I–VI.
  • Drills, inspections and non-conformities logged against the requirement they satisfy.
  • Evidence attached at the point of work — photo, work order, receipt — not reconstructed later.
  • Audit-readiness score showing what is missing while there is still time to fix it.

PSC readiness

A detention that started as an expired endorsement

Certificates are tracked in a calendar reminder set by one person. When that person is on leave, an intermediate endorsement lapses and the vessel arrives in a Paris MoU port with a document a PSC officer can invalidate in five minutes.

What the product does

  • Certificate and survey expiry alerting at 90, 60 and 30 days, to a role rather than a person.
  • PSC self-inspection run before arrival using the same items the officer works through.
  • Prior deficiencies carried forward with their close-out evidence attached.
  • Risk indicators flagged per vessel — flag, age, class, deficiency history.

Modelled outcome

A single avoided detention typically dwarfs the annual subscription. Detention costs are dominated by off-hire and rectification, not the fine.

Offline at sea

Crew stop reporting because the connection drops

The office buys a cloud PMS. At sea, the satellite link is intermittent, forms time out and work gets recorded on paper 'for later'. Later never arrives in the same detail, and the fleet record degrades.

What the product does

  • The whole application installs to the device and runs with no connection.
  • Jobs, readings and photographs are captured offline into a sync outbox.
  • The outbox uploads automatically when the link returns, preserving timestamps.
  • No parallel paper process, so the record stays complete.

Reporting compliance stops depending on bandwidth. This is the difference between a system the crew use and a system the office believes is being used.
