Common questions

What should a PMS RFP contain as a minimum?

Fleet profile and ship types, the exact functional requirements split into must-have and nice-to-have, offline and bandwidth constraints, data migration scope, integration points, security and hosting requirements, support and SLA expectations, a three-year commercial total, and the acceptance criteria for a pilot vessel.

How many vendors should we shortlist?

Three. One incumbent-style enterprise system, one mid-market system, one modern challenger. Fewer than three gives you no price tension; more than three means nobody gets a serious evaluation and the decision drifts for months.

What acceptance test should we insist on before signing?

A pilot on one vessel using your own equipment register and your real overdue jobs, run offline for at least one voyage leg, ending with an internal audit dry run where the auditor asks for evidence and the crew produces it from the system without help from the vendor.

Can we reuse this checklist for a compliance system?

Yes. Sections 4 and 5 cover ISM, ISPS, SOLAS and MARPOL evidence requirements, which is the same scope you would put in a standalone compliance RFP. Buying them as one system is usually cheaper and always safer at audit.
